Effective date: 1 November 2026
These Wedding Submission and Publication Terms govern wedding stories, photographs, films, written responses, vendor credits, and other material submitted to The Wedding Planning Corporation (TWPC), of 16192 Coastal Hwy, Lewes, Delaware 19958, United States (correspondence address). In these Terms, ‘we,’ ‘us,’ and ‘our’ mean that legal entity, and ‘you’ means the person or organization submitting material. A ‘Submission’ includes material supplied through a submission form, email, file-transfer link, or another channel expressly accepted by TWPC.
1 Free submissions no promise of publication
Wedding submissions are free. There is no submission checkout, purchase requirement, entry fee, or obligation to purchase a vendor subscription. Submitting a wedding does not create a paid order or entitle you to publication, payment, reimbursement, exposure, referrals, inquiries, bookings, or any other result.
Selection and publication are entirely within TWPC’s editorial discretion, subject to applicable law. We may accept, decline, defer, edit, publish only part of, or remove a Submission. We do not undertake to provide individual feedback, a publication date, advance proofs, or a minimum period of publication unless we expressly agree otherwise in writing. A vendor subscription does not purchase or guarantee wedding editorial coverage.
2 Eligibility and acceptance
You must be at least 18 years old and have legal capacity to submit material and enter into these Terms. If you submit for a company, client, couple, photographer, or another person, you must have the authority needed for that Submission and the permissions described below. You must accurately identify your capacity and must not represent that you own rights you merely administer or have permission to use for a different purpose.
You accept these Terms through the affirmative acceptance mechanism accompanying your Submission, or through another recorded agreement with TWPC. Merely naming another person in a Submission does not bind that person to a contract or provide that person’s consent. Our Website Terms and Conditions govern use of the website; these Terms govern the specific rights and obligations relating to your Submission and prevail on that subject if the two conflict. Our Privacy Policy explains our processing of personal information.
3 Copyright and publication permissions
You represent and warrant that you own the rights necessary to provide the Submission and grant the license below, or have obtained a valid license or authorization from each relevant rights holder covering TWPC’s intended uses. These permissions must cover the actual photographs, films, music, text, artwork, logos, and other protected material supplied. You must comply with applicable license restrictions and identify any restrictions to us before submission.
Being the couple, paying for photography, possessing image files, appearing in a photograph, tagging a photographer, or giving a photographer credit does not by itself establish permission for TWPC to publish the images. A personal-use photography license may not permit publication on a commercial editorial website or its social channels. If you are not the rights holder, obtain written permission covering the uses in Section 5 before submitting. Music cleared for a personal social account may not be cleared for TWPC’s use.
You must not submit material subject to an exclusivity agreement, embargo, confidentiality obligation, venue restriction, or other obligation that conflicts with these Terms. Tell us about any requested embargo or other restriction before submitting; it binds us only if we expressly accept it in writing. We may require copies of licenses or direct confirmation from a photographer or another rights holder and may withhold or remove material pending verification. If you submit in the course of a trade or business, you must keep records of those licenses and permissions for as long as the material is published and for at least three years after its removal, and provide copies within 5 business days after our written request.
4 Couple guest and child permissions
You must obtain the couple’s informed permission for the proposed feature, including the proposed public names, photographs, quotations, wedding details, and story. You must also obtain permissions required by applicable privacy, publicity, confidentiality, and other laws from identifiable individuals and from an authorized parent or guardian where legally required for a child. Do not assume that a wedding invitation, a photography contract, or attendance at an event authorizes all of these uses.
Do not submit home addresses, private telephone numbers, identity documents, financial information, a child’s school or precise location, or other unnecessary private details. Obtain clear instructions about preferred names and details that should remain private. Tell us before publication if there is a protection order, stalking concern, confidentiality concern, or other personal-safety issue relevant to the feature.
Some stories and images can reveal sensitive information, including religious beliefs, health information, sexual orientation, or other information receiving special legal protection. Do not include unnecessary sensitive details. We may require separate, explicit consent directly from the affected person or other appropriate authorization before using sensitive material. Your acceptance of these Terms does not itself provide another person’s data-protection consent or eliminate our own obligations as a publisher or controller.
5 Limited nonexclusive publication license
You retain any copyright and other ownership rights you hold in the Submission. Subject to Sections 4 and 9, you grant TWPC a nonexclusive, worldwide, royalty-free license to receive, store, reproduce, resize, format, crop, make reasonable editorial edits to, display, distribute, and make the Submission publicly available for evaluating and publishing the wedding feature; maintaining that feature in our editorial archive; sharing the feature through TWPC’s website, TWPC-operated social media accounts, and newsletters; and promoting that particular feature through those channels.
The license permits us to use the public names, approved quotations, wedding details, and vendor credits you are authorized to supply only in connection with those purposes. It includes the limited technical rights necessary for our hosting, production, email, and social-media service providers to deliver the authorized uses, subject to their applicable terms. It is not an assignment of ownership or an exclusive publishing arrangement.
This license does not authorize TWPC to sell the Submission as standalone stock content, license it for unrelated third-party advertising, imply that the couple or a guest endorses an unrelated product, or use it to train general-purpose artificial-intelligence models. Any such use requires a separate agreement and any additional legally required consent. Publication does not authorize visitors or third parties to reuse protected material beyond their rights under applicable law.
6 Editing presentation and credits
We may select images; crop, resize, and format material for different channels; edit grammar, length, headings, and sequence; and prepare captions or accompanying editorial text. We will not knowingly make a materially false attribution or deliberately distort an approved quotation’s meaning. You authorize reasonable production edits within the scope of the license, subject to any moral rights or other rights that cannot lawfully be waived.
Supply complete and accurate photographer, filmmaker, venue, and vendor credits, including preferred names and links where available. We will make reasonable efforts to include appropriate supplied credits and address substantiated credit errors. Credit is not a substitute for permission. Unless separately agreed, no particular hyperlink, tag, credit placement, image count, or external platform display is guaranteed. We may decline requests for links or claims that are misleading, unlawful, or outside our editorial standards.
7 Accuracy and prohibited material
You represent that factual information you supply is accurate to your knowledge, quotations are genuine or clearly identified as paraphrases, and you have not knowingly omitted information that makes the Submission misleading. Identify styled shoots, staged events, composites, and materially AI-generated or AI-altered images as such. Do not present a styled shoot or invented event as an actual wedding.
Submissions must not contain unlawful, infringing, defamatory, fraudulent, threatening, harassing, discriminatory, sexually exploitative, or malicious material. Do not submit impersonations, fabricated endorsements, undisclosed advertising, malicious software, or confidential material you are not entitled to disclose. Do not remove watermarks or rights-management information without authorization. Notify us promptly if you discover a material error, a permission dispute, or a change that makes continued publication unlawful.
8 Gifts commercial relationships and compensation
Disclose to us any payment, gift, substantial discount, sponsorship, affiliate relationship, employment relationship, or other material connection relevant to a recommendation or vendor claim in the Submission. We may include appropriate disclosures or decline promotional content. You must not ask us to conceal a commercial relationship or to describe paid promotion as independent editorial opinion.
Unless a separate written agreement expressly provides otherwise, submissions and resulting publication are unpaid. You are responsible for your own submission expenses and any permissions or third-party fees you undertake. Publication creates no employment, agency, partnership, or entitlement to a share of TWPC’s revenue. A feature may appear within a commercial website containing paid vendor profiles or other clearly identified commercial material.
9 Withdrawal corrections and removal
You may withdraw an unpublished Submission or request correction or removal of published material by contacting info@theweddingplanningco.com, identifying the material and your connection to it. You may also end the Section 5 license for future uses by written notice. After reasonably verifying the request, we will stop new licensed uses and remove the submitted material from publicly accessible copies under our control within a reasonable period, subject to any shorter legal deadline and any lawful reason for continued use independent of this license that we explain to you.
Withdrawal does not make previously authorized use unlawful. We cannot retrieve newsletters already delivered or guarantee removal of independent third-party copies, screenshots, caches, search results, or reposts. We will take further steps where required by applicable law. Limited nonpublic copies may be retained for backups, legal obligations, permission records, dispute handling, or legal claims under the retention criteria in our Privacy Policy; those purposes do not authorize new promotional use.
Privacy and data-protection rights belong to the affected individual and are separate from copyright ownership. An individual may request action concerning their own information even if someone else submitted or owns the photograph. Where processing relies on consent, that consent may be withdrawn as explained in our Privacy Policy without affecting the lawfulness of earlier processing. These Terms do not waive rights under the GDPR, UK GDPR, applicable US privacy laws, or other mandatory law.
We may also remove or restrict material for legal, rights-clearance, privacy, safety, accuracy, technical, or editorial reasons. Content complaints and copyright notices should be submitted under our Copyright and Content Complaints Policy. A removal decision does not itself establish that anyone acted unlawfully.
10 Responsibility for commercial submissions
If you submit in the course of a trade or business, you agree, to the extent permitted by law, to indemnify TWPC and its officers and employees against amounts payable to a third party under a final judgment or settlement approved by you, and reasonable external legal costs, to the extent caused by your material breach of the rights, permissions, or accuracy warranties in these Terms, your knowing submission of unlawful material, or your fraud or willful misconduct.
This obligation does not apply to the extent a claim results from TWPC’s unauthorized use outside the license, an alteration creating the infringement or false statement, breach of these Terms, negligence, fraud, willful misconduct, or violation of law. We will give reasonably prompt notice of a claim, allow reasonable participation in the defense, and reasonably cooperate. Neither party may agree to a settlement imposing an admission, payment, or nonmonetary obligation on the other without that party’s written consent, not unreasonably withheld. This commercial indemnity does not apply to a couple submitting in a personal, nonbusiness capacity and does not exclude rights or remedies that cannot legally be excluded.
11 General provisions and contact
The applicable liability, governing-law, dispute, and general provisions in the Website Terms and Conditions form part of this agreement only to the extent validly agreed and legally enforceable. No provision in these Terms excludes liability or statutory rights that applicable law prohibits us from excluding. No exclusive foreign forum or governing-law provision deprives a consumer of mandatory protections or courts available under applicable law.
We may update these Terms for future submissions. The version accepted when you submitted governs that Submission unless you later agree to a change. A later update does not retroactively expand a publication license or constitute new consent to process personal information. Permissions and provisions that by their nature remain relevant after publication ends survive only to that necessary extent.
